Dear Colleagues:
As we close the academic year and transition into summer, I’d like to share the IT Executive Dashboard and a few notable highlights with you.
- To address the challenges with BruinBuy Plus (R1) and to navigate new ways of working introduced by the solution, the Ascend 2.0 program has been paused. A task force has been formed to reduce the invoice backlog — successfully clearing 99% of the backlog to date — and continues to implement incremental fixes to streamline and expedite the invoicing process. In parallel, an assessment will be conducted to gather essential data and insights to inform decisions about the future implementation of Oracle Financials (R2).
- Network Unification has entered the Assessment phase which encompasses the planning and design elements for the future state network at UCLA. Technical, functional, operational, security and policy requirements for the UCLA campus network will be captured, defined and documented as a part of this effort, in collaboration with campus partners.
- The Security Transformation team successfully collected nominations for Unit Information Security Leads (UISL) across campus, who will work closely with the Office of the Chief Information Security Officer (OCISO) in support of security-related efforts. The team continues to partner with low coverage units on the deployment of Trellix, which provides protection against malicious software, and on an asset inventory discovery exercise in preparation for the eventual build of campuswide asset repository.
- The Google Workspace Service Adjustments team has communicated impacts to all affiliations, with permanent baseline quotas and service changes starting on June 27. Certain affiliations, including academic appointees, qualify for quota extensions. Early July reminders will notify users exceeding quotas, including information on purchasing extra storage.
- Canva, an online design and visual communication tool, will be available with premium licensing for all UCLA students for free, and for UCLA faculty and staff at a discounted rate by August 2024. The project team is collaborating with UCOP, Canva and partners across campus to support the development of knowledge base articles, refinement of branding guidelines and creation of base templates to support the August rollout to campus stakeholders.
- FACET has completed the majority of mainframe remediation work in support of the 2024-2025 financial aid year. Additionally, the team continued to test Oracle’s Student Finance Planning (SFP) solution and is conducting User Acceptance Testing (UAT) with partners across campus.
