CIO Message | October 2023

Dear Colleagues:

I hope this message finds you well and enjoying the fall quarter. Here's a brief update on our ongoing projects, as detailed in the  IT Executive Dashboard and highlighted below.

  • The Ascend 2.0 Procurement launch is on track for January 2, 2024. To ensure a seamless transition, the team conducted a Town Hall and sent targeted communications to all impacted users. Over 75 campus trainers are fully prepared to deliver instructor-led training, while eLearning will be offered via Bruin Learn . Training will kick off for 3,800 users by October 30, and weekly training scorecards will be sent to leadership to monitor progress. Plans for hypercare support are also underway to assist units during this transition. 
  • The FACET team received the latest updates from the Department of Education (DOE) and confirmed alignment with all crucial FAFSA simplification adjustments necessary for FY24-FY25 financial aid processing. The team continues to actively engage stakeholders across campus in the design of Oracle’s Student Financial Planning (SFP) to ensure it accommodates all undergraduate, graduate, and professional school student aid requirements.
  • The HR IT System Optimization program is scheduled to go live with ServiceNow HR Service Delivery (HRSD) in early December, providing CHR and HR partners campuswide enhanced workflow processes, including salary and compensation actions. 
  • Bruin Voice will complete the Zoom softphone deployment across 5,600 lines by mid-November. Additionally, the team is gearing up for physical phone deployment, with a pilot scheduled with partner units by year-end. 
  • The Google Storage team initiated their Advisory Committee, finalizing phase one plans. The team has engaged with numerous stakeholders to understand the storage needs across various campus communities. They are on track to implement containment quotas by year-end to comply with Google's newly established permissible limits by July 1, 2024.
  • Our Security Transformation team successfully concluded Cybersecurity Awareness Month with a #SecureUCLA Town Hall in collaboration with the FBI. Moving forward, the team will continue strengthening cybersecurity training and awareness, security incident response efforts, and refine our security operating model in anticipation of the broader transformation roadmap ahead.
